10-Second Cover Letters

When it comes to your cover letter, remember this -- attention spans are short.

Very short.

Because the cover letter is what most hiring managers and HR people read first, yours should make the most impact in the shortest time. Or else it goes in the trash. Along with your resume.

I submit that you have less than 10 seconds in which to make your reader want to put down your cover letter, pick up the phone and call you for a job interview.

Here are four ways to do just that.

1. Limit yourself to five or six paragraphs.
The cover letters I write every day for clients are rarely longer than five paragraphs. That's an introductory paragraph, three bullet points to prove your skills and elicit curiosity, and a strong closing paragraph.

A cover letter with this concise format is easy to scan and shows respect for the reader's limited time. If you need more room, that's fine, but never exceed one page.

2. Start smoothly.
Your first sentence is most important. Use it to give the reader context for the rest of your letter. For example, it can be very effective to simply say: "I'm applying for the position of Sales Rep, as advertised in the Wall St. Journal."

If you heard about the opening from a friend, drop his name in that first sentence: "Jack Smith suggested I contact you about the position of Design Engineer."

3. Drop crumbs.
I like to include a "teaser" paragraph in every cover letter that says, more or less, "Here's why you'd be crazy not to call me." Try something like this:

"I've developed methods, which I can share with you, that have produced a 15% gain in market share for my current employer over the past 11 months, resulting in $2.3 million of new revenue."

What's special about you? What can you do? Everyone is unique and valuable in some way. Make sure this comes through in your cover letter!

4. Finish strong.
Finish your cover letter with emphasis on how you can help your prospective employer. And, if possible, include a time when you'll call to discuss their needs. Here's an example closing paragraph:

"Now I would like to bring these skills to work for you. I look forward to speaking with you soon about the results you can expect from me, and will call your office next Tuesday at 10:00 to answer any questions you may have."

How to Get Your Dream Job in a Slow Economy

Does the slow economy leave you worried about finding a new job? Don't despair! Even in a slow economy there are plenty of good jobs available, and with the right preparation you will make yourself stand out from your competition. Below are 7 tips that will get you closer to your dream job.

1. Research
Research the industries that interest you. Find all the companies in your geographic location that currently have positions that you think you would qualify for. This doesn't only mean open positions. The initial goal is to fill the "funnel" with as many companies that you could see yourself working for. Don't be too picky. The more companies the better.

Organize those companies in a way that will make it easy for you to keep a good overview. An excel spreadsheet will do just fine. Find each companies' contact information and simply call them up. Your goal is to find out who is in charge of hiring for the department that you are interested in. Finding out this information might take a few phone calls, but keep in mind that the harder it is, the more likely your competition won't do this.

2. Making Contact
Once you completed your spreadsheet with the information you need, including the hiring manger's phone number and e-mail address, it is time to start prospecting. The best way to do this is by working all communication channels. Send in a your resume by mail with a targeted cover letter. Then follow up with a phone call to ensure that the resume was received. The goal is to start the conversation with the hiring manager. Be polite and don't be too pushy. Simply sell yourself!

3. It's a numbers game
The more times you do the steps above the better. It is simply a numbers game. Take your time to customize each cover letter and send in plenty of resumes. The more the better!

4. Ask for action
Be proactive in your job search. Follow up with your targeted companies and learn more about their possible hiring time frame. Once you know their sense of urgency, there is nothing wrong with asking for action. If you know that company XYZ is planning on filling your position within the next 4 weeks, then it is quite acceptable to ask for an interview falling in this time frame. Once again, don't be too pushy. The following might be a good example how to ask for your face to face interview: "Mr. or Mrs. (hiring manager name here) from your previous e-mail you mentioned that you are planning on filling the (position's title) position by the end of this month. Is this time frame still accurate" If the answer is yes, then simply ask for your interview by saying something like this: "Well, that is great. I have been narrowing down my job search, and I am most excited about your company. I would really enjoy the opportunity to learn more about your business. Do you think you might be available next week for a brief meeting?" Simply give this a try and you will be surprised about how well it is perceived. If you owned a business, wouldn't you want employees that are passionate about your business and take initiative to get the job done?

5. Dress Right For Your Job Interview
As a general rule, it is better to overdress than showing up too casual. Keep your attire on the professional, and slightly conservative side. Unless you are applying for a job that is related to the fashion industry keep your outfit to a classy 2-piece, charcoal gray business suit, plain white dress shirt, and classic business tie. The best necktie colors for this purpose are dark blue and burgundy red. Stay away from too trendy neckties such as pink, orange, and lime green. Although they are quite fashionable, they might be perceived as too flashy.

6. Body Language
First impressions are usually made within the first 3 seconds of meeting someone. That's why the right attire and body language is so crucial for your job interview. If you start the interview on a good note, you will have won half the battle.
Have a good handshake, make good eye contact, and smile when appropriate. Be confident but not arrogant!

7. The Right Follow-Up
Few people take the effort to write a Thank-You note these days. If you really want to stand out from the competition write a handwritten note to the manger you interviewed with. If you prefer to write e-mail, then address the e-mail to the person you interviewed with and copy all other decision makers onto this same e-mail. Thank him/her for taking some time out of his/her busy schedule to meet with you. It will guaranteed leave a good impression, and it will increase your chances to get called back for a second or final interview.
If you follow the tips above you are on the right track to get your dream job. The key is to practice this process. Don't beat yourself up over rejections, but keep a positive attitude: Every NO will get you closer to the YES.

HOW TO WRITE A THANK YOU LETTER

Sending a thank you letter is as important as interview
preparation. But they're tough to write, so people either tell
themselves that not sending one doesn't matter, or they
procrastinate until it's too late and almost pointless anyway.
But anyone who tells themselves that foregoing a fundamental
rule of etiquette doesn't matter, not only taints themselves in
the mind of the interviewer, but misses two additional
opportunities to sell.

A thank you letter is an additional sales piece. As I've said
before, you're selling a product and the product is you. So
beyond the reason of etiquette, the letter sells you as a polite
person who recognizes that the interviewer gave them something
valuable: time and consideration.

A fundamental rule of sales is to keep the product in front of
the buyer and reinforce its benefits. So beyond the etiquette,
the letter gives you ample space to comment on what you liked
about the company, why your skills are of benefit to them, and
how much you re interested. If something wasn't tied up, or was
left unsatisfactorily, you should use the space to further
address the issue.

When you miss the opportunity to reinforce your skills and tie
them to the job requirements, you miss a chance to sell. When
you fail to address a concern or answer a question and leave it
to fester in the mind of the interviewer, you've failed to
overcome an objection. And if a buyer has an objection to the
product, if it isn't addressed, the likelihood of the sale is
slim.

The third opportunity missed by skipping the thank you letter is
the chance to keep your name in front of the buyer. Read
newspapers? Watch TV? See the same ads over and over and over
again? It's somewhat the same principle - if you keep your name
in front of the hiring authority, they're more likely to
remember you.

Thank you letters are one of the reasons it's important to take
notes during an interview. Not only does it show good attention
to detail, it saves you from having to scrunch your face up
trying to remember some of the information you learned about the
company and position during the interview.

Because if you met with three separate people during one visit
to the company, that's three thank you letters...three different
thank you letters. Somewhere in each letter needs to be some
piece of personalization that reflects back to your interview
with that person. In other words, don't write the letter, change
the names, print it out and mail off the exact same letter to
three people! That's lame and lazy!

So let's look at how to create one of these so that it becomes a
less odious task.


* First paragraph
Open with the obligatory thank you and include how you
enjoyed the meeting. Say why. Maybe the people you met were
exceptional. Perhaps their company philosophy was exactly
what you had hoped for. Or they need to overhaul a
department and you can't wait to sink your teeth into it
because that's what you've got a stellar track record of
doing. It doesn't matter. Pick something out, and put it
down. But make it real.

* Second paragraph
What took place during your interview? Pull out a piece of
information that pleased you, say what it was, and tell them
why. For instance: I was particularly pleased to find that X
company/the opportunity/ your management style has/was/is/
does whatever. This is exciting because... You can expand on
whatever it is for a few sentences by elaborating: how it
relates to something you've experienced and liked - or did't
like. Discuss a particular aspect of the job you find
appealing and reiterate why you'd be successful at it or how
long you've been performing it or how similar it is to
something you've done in the past.

* Third paragraph
You can add a similar paragraph if the second was fairly
short. Or you can skip this paragraph if you've said what
needs to be said. If there was something that came up that
needed clarification or about which they were dubious,
address it and clear it up here.

Wind it up. Re-iterate your interest. Be enthusiastic! Leave
the job speak behind. If you really want to be hired, let
your interest shine through. There's nothing wrong with
coming right out and saying, "I'd love to work with X
company!"

Caution: Don't start every sentence with "I". It may be the
easiest way to write the letter but it's not only
repetitive, it's a turn off and egotistical. This process is
about you getting a job, but it's about what they get out of
it if they hire you, so make sure you directly connect your
skills to what they said they wanted. No magic formula -
just come out with it.

One more thing. People always ask how it should be sent. The
answer is by snail mail. Business format. If time is of the
essence, then mention in the email that you're emailing them
because you wanted them to receive the letter immediately.
But it does not go handwritten on stationary. That's for
bridal showers, weddings, funerals, birthday parties, and
other personal affairs.

If you really want the job, the letter will be easy to write
because it will contain genuine impressions and sentiments.
If you choose to skip the letter, perhaps you don't care if
you're hired or not. But make that decision yours and
withdraw from the process instead of letting the decision be
made for you.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.



1. Develops Failure Analysis Reports (FAR) for equipment and/or material returned for evaluation and repair.

2. Maintains FAR databases, prepares inter-departmental correspondence regarding returned product failures.

3. Identifies / monitors failure trends, and provides an over all summary and findings for equipment and/or material returned for evaluation and repair to the Failure Review Board (FRB).

4. Participates and presents to the Failure Review Board (FRB) product failure analysis, failure trends, provides an over all summary and findings to support the implementation of corrective action.

5. Establishes appropriate links with Engineers, Reliability Engineers, Field Service, Manufacturing Engineering and Quality personnel to monitor production and deployed equipment processes, and identify and help prioritize the problems that develop in the course of programs.

6. Responds in a timely manner to provide assistance to Sr. Sustaining Engineers in determining design and/or process related causes and assist with changes as required.

7. Monitors failure data generated in-house and by the customer to ascertain potential requirements for product improvements in future designs and provide written recommendations.

8. Develops Engineering Change Proposals (ECP) and company policies for Sustaining Engineering project related programs.

9. Participates in Value Engineering Teams (VET) for both newly-released and fielded products to help identify and prioritize design changes for product enhancement.

10. Performs hardware and/or software design and development of Depot and Field Test Equipment.

11. Responsible for ongoing Maintenance and Certification of Navy Depot Test Stations and Validation of Navy Depot Repair Standards.

12. Performs other duties as assigned by Management.

Manners are not only important at the dinner table (use your napkin, please), on the telephone (listen as well as speak), in a theater (refrain from talking during the performance) , but also during a job interview. Yet many job seekers forget the importance of being polite. They jingle the change in their pocket, click their tongue, stare at the wall or at their lap, or cut in when the hiring manager is speaking.

Nerves can throw you off. Your heart races, your palms perspire, your mouth goes dry. You may even forget what you want to say. But none of these experiences are reasons to forget your manners. To give yourself the 'edge' when it comes to sitting across from a potential employer, review the following polite practices and then go over them with a spouse or friend before the in-person meeting.

Arrive ahead of time. It may be fashionable to come late to a cocktail party but it's bad manners to walk into an interview after the agreed-upon time. Always arrive at least ten minutes early so you can freshen up, catch your breath, sit quietly in the lobby reviewing your notes.

Maintain good eye contact. You probably know what it's like to speak with someone who is shifty-eyed. You might wonder what he has up his sleeve or what she is hiding. Looking a man or woman in the eye when speaking is not only polite, it's good business practice. It assures the other person of your sincerity and genuine interest. And it will remind him or her to return the eye contact.

Listen well. Focus your mind and take in what the interviewer is saying. If you miss a detail or don't understand what is said, ask politely for it to be repeated. It may help to have a small notepad and pen in your hand. Jot down items that are of importance to you. You might even tell the interviewer ahead of time that you'll be taking notes because you don't want to miss anything. That too, is a sign of good manners. You're letting the other person know that you're serious about the job in question.

Say thank you. At the close of the interview, be sure to shake hands and express in warm words how much you appreciate the time and the information you received. Remember, everyone likes to be acknowledged and thanked. Those who express gratitude will not be forgotten because it is so rare for people today to share genuine thanks. Then follow up with a thank you note in your handwriting. That will seal the deal and give you a good chance of winning a second interview -- or even the job itself.

SUMMARY
Under general supervision, the Sustaining Engineer shall be responsible for the development of Failure Analysis Reports for equipment and/or material returned for evaluation and repair. The Sustaining Engineer shall provide design maintenance of products that have been released to Manufacturing for ongoing production and/or production of spares. This shall include providing support to Sr. Sustaining Engineers during customization of that product for specific and internal and customer driven requirements. It shall also encompass support responsibility for Value Engineering, Technology Insertion and all aspects for sustaining fielded equipment. Design maintenance of released products includes support for production problems, field problems, maintenance of regulatory compliance and customer-driven customization.

The Sustaining Engineer shall support the Sr. Sustaining Engineers during coordination and prioritization of major cross-functional issues to technically support ongoing program needs. The Sustaining Engineer shall provide support to Sr. Sustaining Engineers and Reliability Engineers during establishment of department technical policies in regard to fielded product surveillance, depot technical operations hardware and/or software development and sustaining tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

1. Develops Failure Analysis Reports (FAR) for equipment and/or material returned for evaluation and repair.
2. Maintains FAR databases, prepares inter-departmental correspondence regarding returned product failures.
3. Identifies / monitors failure trends, and provides an over all summary and findings for equipment and/or material returned for evaluation and repair to the Failure Review Board (FRB).
4. Participates and presents to the Failure Review Board (FRB) product failure analysis, failure trends, provides an over all summary and findings to support the implementation of corrective action.
5. Establishes appropriate links with Engineers, Reliability Engineers, Field Service, Manufacturing Engineering and Quality personnel to monitor production and deployed equipment processes, and identify and help prioritize the problems that develop in the course of programs.
6. Responds in a timely manner to provide assistance to Sr. Sustaining Engineers in determining design and/or process related causes and assist with changes as required.
7. Monitors failure data generated in-house and by the customer to ascertain potential requirements for product improvements in future designs and provide written recommendations.
8. Develops Engineering Change Proposals (ECP) and company policies for Sustaining Engineering project related programs.
9. Participates in Value Engineering Teams (VET) for both newly-released and fielded products to help identify and prioritize design changes for product enhancement.
10. Performs hardware and/or software design and development of Depot and Field Test Equipment.
11. Responsible for ongoing Maintenance and Certification of Navy Depot Test Stations and Validation of Navy Depot Repair Standards.
12. Performs other duties as assigned by Management.
